Content Vault — upload & manage

    How to add files, what file types are supported, what happens during processing, how to search, and how to remove documents.

    Uploading documents

    • Choose the tab matching the type of content you are adding — for example, use the RFP documents tab for past proposals and the Standard documents tab for policies.
    • You can typically drag files directly onto the active tab area, or use the upload button to open a file picker.
    • Supported file types are PDF and Word (.docx). Plain text (.txt) may also be supported depending on the tab. Text-based PDFs and Word files give the best results. Scanned image PDFs can be read via OCR but may produce less accurate extractions — use a text-based file where possible.
    • File size limits are shown within the upload interface. If your file exceeds the limit, try splitting it into smaller sections or compressing it.
    • After selecting a file, the upload begins immediately. The document will appear in the list with a processing badge.

    Processing states

    • Uploading — the file is being transferred to the server.
    • Processing — the file has been received and the AI is indexing its content. This may take anywhere from a few seconds to a couple of minutes for large documents.
    • Ready — the document is indexed and available for answer generation and AI Assistant queries.
    • Failed — the document could not be processed. This usually means the file format is unsupported or the file is corrupted. Delete it and try uploading again, or try a different file format.
    • Do not start a Bulk answer generation run if key documents are still processing — they will not contribute to those drafts.

    Searching and browsing

    • Each tab has a search bar for filtering by document name. Use this when your vault grows and you need to locate a specific file.
    • Documents are typically sorted by upload date, with the most recent first.
    • Click a document name to open its detail view, where you can see metadata, download the original file, update document context (submission date and outcome), or delete it.

    Removing documents

    • Open a document and use the delete option in its detail view. Deleting is permanent and cannot be undone.
    • Deleting a document removes it from the vault and from future generation runs. Previously generated answers that used this content are not affected.
    • If you are replacing an outdated document, upload the new version first, confirm it is ready, then delete the old one.

    Plan limits

    • Your plan may cap the number of documents you can store or the total storage used. If you hit a limit, the product will block further uploads and indicate what the limit is.
    • Go to Settings → Billing to see your current usage and upgrade if needed.
