Customisation
Configure Company Purpose, Brand Tone of Voice, Custom Prompt, and the AI-maintained intelligence fields so every generated answer reflects your organisation's voice.
The Customisation tab in Settings is where you teach the AI who your organisation is, how it speaks, and what rules it must always follow. Completing these fields properly is the single biggest improvement you can make to draft quality.
Find it under Settings → Customisation.
Company Purpose
- Describes what your organisation does and the context in which you operate.
- Be specific: 'We are a 120-person environmental consultancy specialising in contaminated land assessment and remediation' is far more useful than 'We are an environmental company'.
- The AI uses this to ground answers in your company's identity, strengths, and sector context.
Brand Tone of Voice
- Describes how your organisation writes: tone, formality, preferred vocabulary, and any stylistic conventions.
- Examples: 'Professional, direct, and jargon-free. We write in the first person plural. Prefer shorter sentences and active voice.'
Custom Prompt
- Additional instructions and rules for the AI when responding. Use this for your target audience context and any requirements that always apply.
- Examples: 'Write for decision-makers in the financial services sector. Always focus on security, compliance, and return on investment.'
About Your Organisation
- An AI-maintained summary of your organisation rebuilt automatically from your Content Vault documents.
- The AI analyses your uploaded proposals and company documents to keep this current — click Refresh to trigger a rebuild after uploading new content.
- You can edit the field manually at any time. The AI's output is a starting point, not the final word.
Writing Style & Preferences
- Describes how your organisation writes: tone (formal, collaborative, plain English), typical sentence length, preferred vocabulary, and any stylistic conventions you follow.
- Examples of useful guidance: 'Use a confident, direct tone. Avoid jargon. Write in the first person plural (we/our). Prefer shorter sentences. Avoid passive voice.'
- You can trigger a rebuild from your Content Vault documents using the Refresh control. The AI will analyse the style of your existing proposals and generate a style guide from them — review and adjust before saving.
Standing Instructions
- Rules that the AI must always follow, regardless of any other guidance. Think of these as your compliance checklist for AI-generated content.
- Examples: 'Never include specific pricing or day rates', 'Always refer to our quality standard as ISO 9001:2015, not just ISO 9001', 'Do not claim we hold accreditations we have not listed in the Content Vault', 'End each answer with a positive, confident closing sentence'.
- Standing Instructions override Writing Style preferences. Use them for non-negotiables — rules where you cannot afford for the AI to deviate.
- Keep Standing Instructions concise and unambiguous. Lengthy or conflicting rules may produce unpredictable results.
Refreshing from uploaded documents
- Both About Your Organisation and Writing Style & Preferences have a Refresh button that triggers a background rebuild using your Content Vault documents.
- The rebuild analyses your uploaded proposals, company documents, and other vault content to infer what to write.
- A progress indicator will show while the rebuild is running. Wait for it to complete before reviewing the new draft — the field updates when the job finishes.
- You can still edit the result freely after the rebuild. The AI's output is a starting point, not the final word.
- If the rebuild produces something you do not want, simply edit the text or delete it and write your own.
How these settings affect generation
- Every draft answer produced by Bulk answer generation, single-question generation, and the AI Assistant is shaped by your Customisation settings.
- Empty fields mean the AI falls back to generic output with no knowledge of your organisation.
- The more detail and context you provide, the more specific, accurate, and on-brand the output will be.
- After making significant changes, re-generate a few answers to see the difference — you do not need to delete and rewrite content you have already refined.
