Submission date & outcome (document context)

    Record when a proposal was submitted and whether it won — this prioritises the best content during answer generation.

    When you upload a past proposal to the Content Vault, the AI treats it as useful source material. But not all proposals are equally useful — a recent winning proposal is far more valuable for future drafts than an old unsuccessful one. Document context lets you record the submission date and outcome so the system can prioritise accordingly.

    Why this matters

    • The AI gives more weight to proposals marked as 'won' when selecting content to include in generated answers.
    • More recent submissions are preferred over older ones when both are relevant.
    • Without this information the AI treats all proposals equally, which can result in outdated or unsuccessful content influencing your new drafts.
    • Tagging your vault is a one-off task that pays dividends on every generation run afterwards.

    How to set document context

    • Open the Content Vault and find the document you want to tag.
    • Click the document name to open its detail view.
    • Find the document context section (labelled 'Submission date & outcome' or similar).
    • Set the submission date — when you submitted this proposal to the client.
    • Set the outcome: Won, Lost, Not applicable (e.g. a policy document, not a proposal), or Unknown (if you cannot remember).
    • Save your changes. The badge on the document in the list view will update to reflect the outcome.

    Tagging your existing library

    • If you have uploaded several documents without tagging them, work through the list and set outcomes for your proposals.
    • Prioritise your most recent and most relevant proposals — tag those first if you cannot do everything at once.
    • Documents you cannot find the outcome for should be set to Unknown rather than left blank.

    Downloading and deleting from the same screen

    • The document detail view also lets you download the original file and delete the document from the vault if needed.
